A public review response is not only for the original customer. It is also read by future customers. The reply should be calm, short, and privacy-safe, with details moved to a private channel.
Public reply checklist
- The reply thanks the reviewer or acknowledges the feedback.
- The reply does not argue with the customer or restate private account details.
- The response names the general issue without publishing order history.
- The next step points to a private support path when details are needed.
- The tone is calm enough for future readers, not only the upset reviewer.
- The reply does not promise compensation or a result that has not been approved.
